The high volume of requests for print ads at Arcadis from a variety of departments across the company was inefficient at best. I was approached with the challenge to streamline the process in order to meet the demands. A part of that challenge was to create standardized company messaging across a wide range of market sectors and service topics, while placing limitations on ad size and customization time line capabilities.
The solution was to build a library of of ads with pre-approved messaging that was able to be quickly inserted into a layout that follows branding. Three standard ad sizes were developed (full, half and quarter page) to populate the library which the requester now chooses from based on their ad requirements. Setting appropriate guidelines for messaging, graphics and sizes simplified the options available and added efficiency to the entire process.
A library of 66 options that encompassed 22 adds, in 3 different sizes, for 6 separate business lines was designed and implemented on the company intranet website. Depending on the need and the turnaround time of the request, an individual had 3 options to choose from when requesting and ad (Off-the-Shelf, Custom or Campaign). Off-the-Shelf ads were meant for 24-hour turnaround times. Custom or campaign ads were reserved for special targeted requests and would go through a longer process to develop specific messaging related to the market sector’s needs. Those ads were then added to the library as additional options, allowing the collection of ads to grow over time.
A walk through the process
A step-by-step guide of the advertising request process was created to explain to employees and stakeholders about the lifecycle of an ad request. Starting with the request for an ad, how the ad gets chosen and developed, and ending with the final delivery of the finished ad to both the requestor and the publication it needed to be submitted to.
Anatomy of Ads
Additional documentation was developed to explain each part of an ad and the limitations for font sizes, word counts and page sizes. Essentially describing how to build an advertisement from scratch.
